Red Barn Software LLC (dba School Bus Hero, "we," "us," or "our") operates the School Bus Hero platform. This Privacy Policy describes how we collect, use, share, and protect your personal information when you use our platform.

By using School Bus Hero, you agree to the collection and use of your information as described in this policy. This policy should be read alongside our Terms of Service.

The information we collect depends on how you use the Platform and what type of account you create.

Applicant Accounts

• Name, email address, phone number, and location
• Profile information (work experience, skills, preferences)
• Resume and uploaded documents (CDL, certifications, background checks)
• Application history and job interest activity

Employer Accounts

• Company name, address, and contact information
• Location details (addresses, hiring contacts, descriptions)
• Team member names and email addresses
• Job postings and bonus information
• Driver roster data (names, credentials, documents) that you enter
• Content and articles created or generated through the Platform
• Billing information (processed by Stripe; we do not store card numbers)

All Users

• Account credentials (email and encrypted password)
• Usage data (pages visited, features used, timestamps)
• Device and browser information (IP address, browser type, operating system)

We use the information we collect to:

• Operate, maintain, and improve the Platform
• Connect applicants with employers when applicants express interest in positions
• Generate AI-assisted content (articles, summaries, insights) for employer accounts
• Provide analytics and reporting on recruiting activity and operational readiness
• Process payments and manage subscriptions
• Send transactional emails (account verification, password resets, notifications)
• Send periodic communications about Platform features and updates
• Monitor for security threats and prevent abuse
• Comply with legal obligations

We do not sell your personal information to third parties.

We share information in the following circumstances:

• Applicant-to-Employer: When an applicant expresses interest in a position, their profile information (name, contact details, resume, uploaded documents) is shared with the relevant employer. Applicants control this by choosing which positions to express interest in.
• Stripe: Payment and billing information is processed by Stripe, our payment processor. We do not store credit card numbers on our servers.
• Resend: Email addresses are shared with Resend, our email delivery service, to send transactional and notification emails.
• OpenAI: Content submitted for AI-assisted generation (article topics, employer details, check-in email replies, and other content we extract signals from) is sent to OpenAI for processing. This data is used solely for content generation and is not retained by OpenAI for model training per our API contract.
• Legal Requirements: We may disclose information if required by law, subpoena, court order, or government request, or to protect the rights, safety, or property of School Bus Hero, our users, or the public.

We use cookies to operate the Platform. These include:

• Session cookies: Required to keep you signed in and maintain your session. These are essential for the Platform to function.
• Analytics cookies: Used to understand how visitors interact with the Platform so we can improve it. These cookies collect aggregated, anonymized data.

We do not use cookies for third-party advertising. Most browsers allow you to control cookies through their settings, though disabling session cookies will prevent you from signing in.

We comply with the CAN-SPAM Act. Our communications practices include:

• All marketing and notification emails include an unsubscribe link
• We honor unsubscribe requests promptly
• We do not purchase or use third-party email lists
• Transactional emails (password resets, account verification, security alerts) are sent regardless of your marketing preferences, as they are necessary for account operation

You can manage your email preferences through your account notification settings.

School Bus Hero sends periodic check-in emails to employer account owners and invites replies. When you reply, your message — including the full reply body, subject line, sender email address, and email headers — is received by our inbound email service (Resend/AWS SES), forwarded to School Bus Hero, and stored in our database.

What we do with reply content:

• The reply body is sent to our AI provider (OpenAI) for structured signal extraction (hiring updates, optional quotable sentences, founding year, driver counts, and similar facts). OpenAI does not retain this data for model training.
• Extracted signals are reviewed by a School Bus Hero administrator before any public publication. Only the fields you (or the admin) explicitly approve are written to your public employer profile.
• The raw reply body is retained in our database indefinitely for audit and re-processing purposes. It is not shown publicly.
• Published snippets (hiring updates, testimonials) follow the takedown process described in our Terms of Service — written request, removed from public surfaces within 5 business days.

If you do not want your replies to be stored or processed, do not reply to our check-in emails. You can opt out of future check-in emails entirely via the "Turn them off" link in the email footer or from your employer notification preferences.

We retain your personal information for as long as your account is active or as needed to provide you with the Platform's services. If you close your account, we will delete or anonymize your personal information within 30 days, except where we are required to retain it for legal, billing, or operational reasons (such as resolving disputes, enforcing agreements, or complying with legal obligations).

Aggregated, anonymized data that cannot identify you may be retained indefinitely for analytics and Platform improvement purposes.

You may request deletion of your account and personal data at any time by emailing hello@schoolbushero.com.

When you request account deletion:

• Your account access will be removed
• Your personal data will be deleted or anonymized within 30 days
• Some data may be retained where required for legal, billing, or operational reasons (for example, billing records, security event logs, or data needed to resolve an active dispute)

This applies to all account types, including employer accounts, applicant accounts, and personal data associated with team member access.

If an employer account is deleted, driver roster data and associated documents entered by the employer will also be deleted.

You have the right to:

• Access the personal information we hold about you
• Correct inaccurate or incomplete information
• Delete your personal information (subject to the retention exceptions described above)
• Export your data in a portable format

School Bus Hero is intended for users who are 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected information from a person under 18, we will delete it promptly. If you believe a minor has provided us with personal information, please contact us at hello@schoolbushero.com.

We implement reasonable security measures to protect your personal information, including encryption in transit, secure authentication, and access controls. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify you by email. Your continued use of the Platform after changes are posted constitutes your acceptance of the updated policy.
